If you are new to online course instruction or looking for a quick refresher in the lead-up to the start of the fall term, our instructional design team (Beth and Michele) worked on building out a new Managing Your Online Course resource to consolidate all of the information that faculty need to know when teaching online. In this resource, you will learn the step-by-step tasks, tools, and resources that will assist as you manage your online course and engage with students throughout the term. For a quick reference, you can also access our printable Managing Your Online Course One-page Guide.

A final grade of an F is for a student who participated in a course the entire semester but failed the assessments in the course. A FSA is the grade earned by a student who failed class as a result of discontinuing to complete assessments (including attending or participating if it was an online course).
Instructors must provide date of last activity or attendance for student receiving a FSA. And a FNA is for a student who failed the course but never attended or participated in it (i.e., completed any assignment) even once. No last day of participation/attendance is required.
What F, NSA and FNA grades?

COVID related absences fall under the University attendance policy as an excused absence. As detailed in the policy, a student who becomes sick or is required to quarantine during the semester should notify the instructor. The student should then work with the instructor to develop a plan to complete the course learning outcomes while he or she is absent.
All WVU faculty senate approved syllabus statements can be found on Teaching and Learning Commons website under resources or at https://tlcommons.wvu.edu/syllabus-policies-and-statements
Please make sure the syllabus you provide to students includes this link instead of citing each policy on the syllabus.

Graduate students may not hold more than the total equivalent of one assistantship (20 hours per week). Assignments that exceed an average of 20 hours per week compromise the ability of students to participate in their graduate programs as full-time students, degrade the quality of the students’ scholarly experience, and prevent the timely completion of their degree requirements.
On rare occasions, graduate students may be hired as hourly workers in addition to their assistantship assignment. To protect these students’ academic standing, the “100-hour rule” is applied for student workers who have assistantships. This policy states that any student who has a regular (20 hours per week) graduate assistantship may not be employed for more than 100 hours per academic term beyond the assistantship by the home unit or by another unit without the permission of the Office of Graduate Education and Life. The 100-hour rule allows units to hire a graduate student who has an assistantship for incidental hourly work without seeking permission prior to hiring the student. Please be aware, however, that F-1 or J-1 visa holders are restricted to working 20 hours per week when classes are in session and may only work additional hours during breaks.
Partial graduate assistants (10 hours per week) may not hold a second partial assistantship, but may work up to 10 hours per week as an hourly student worker.

An incomplete is a temporary grade assignment used when unforeseen, non-academic circumstances arise that prohibit you from completing the last course assignments or examinations at the end of the semester. The grade of Incomplete is typically assigned because of an excused absence from the final examination, or because assignments are unavoidably incomplete, as determined by the instructor.

With the goal of accurately tracking and assessing “incomplete” grades given to students, CPASS has developed a system that must be followed BEFORE a grade of “incomplete” can be assigned to a student in our college. This process involves having instructors complete a Qualtrics survey to request the “I” grade, that will then initiate an Adobe Sign form that can be automatically routed to the appropriate individuals for signature and approval before the final document/contract is automatically sent to all important parties for storage.

Instructors can find the Qualtrics request form on the CPASS website (CPASS Intranet > Academics > CPASS Office of Student Success > Faculty Resources > Qualtrics Forms), or by using this link CPASS Incomplete Contract Form. This form asks questions about the student in question, course in question, reason for the grade of “incomplete,” and the remaining work that must be completed by the student. Completion of this initial form will trigger an Adobe Sign document to be created and routed to the appropriate individuals for signatures and approval before the final approved document/contract is returned to all parties (instructor > student > program coordinator > OSS staff) for storage.

Please note that approval from the appropriate program coordinator is required BEFORE a grade of “I” can be assigned. Therefore, instructors should start this process early to ensure that appropriate routing has time to occur PRIOR to the final due date for grades. If you know that you will be assigning a grade of “I” to a student already, please complete this form now. Should you have any questions, feel free to ask Lindsay Augustine at Lindsay.augustine@mail.wvu.edu. We hope that this process will provide everyone involved with a better understanding of the requirements that must be completed to be successful with an incomplete, and will also help CPASS comply with the university requirement for an “incomplete contract” to be completed and on file.

WVU’s Accessibility Services provides a variety of resources for students who are registered to receive accommodations and will communicate with faculty if there is a student registered in their course. Monitor your mix account for these emails! However, the student must provide the appropriate documentation to Accessibility Services first. Instructors are not required to provide accommodations for students who are not registered through Accessibility Services. Their office also provides services that are helpful to faculty. They will provide captioning of audio and video (see https://webstandards.wvu.edu/accessibility/captioning IF enough lead time is provided to them), provide note taking). If you have any questions, contact them at https://accessibilityservices.wvu.edu/

Arrears is money that is owed and should have been paid earlier. Graduate Assistants with a standard nine-month contract (8/13/21 – 5/12/22) will have their annual salary split between 19.5 pay cycles. The first paycheck will be 8/27/2021 and for only one day (10%), followed by nineteen bi-weekly pays, and ending with a four day (40%) pay on 6/3/2022.

If your payroll processing is delayed for any reason, your start date will be determined by the date the paperwork is completed and keyed to the system, with pay reduced/pro-rated accordingly.
