We use this spreadsheet to see which insurances our office is in network with and which fee schedules to attach.

This is the most important info to get from the patient besides their name, when they call the office to make the appointment.

You must have these highlighted before entering a payment or adjustment in the patient's ledger.

This sheet is used if you are having an issue in your office and tells you who to contact for the specific issue.

What is a merchant fee adjustment?
These adjustments are made in Open Dental when a patient pays using a thirdy party financing.

What is a waiting period?
If an insurance plan has this clause, they will limit payment for procedures until a certain amount of time has passed after the effective date.

What is 48 hours?
When scheduling patients, we give them this time frame to cancel or RS their appointment by, so that we can have time to fill the hole in the schedule.

What is SEDP Billing Policy Instruction Manual?
This SOP helps lists out the process for sending patient statements weekly, so that you can use it each time you send statements.

What is front office communications report?
This report is printed out for EOD, and it includes the communication between front desk and claims department. We want to make sure we work this report daily.

What is a downgrade?
This happens when your insurance plan chooses to pay for a less expensive version of a treatment, even though your dentist is recommending a different option.

What is Open Dental and Dental Intel?
You can go to the two programs to pull patient lists when filling the schedule.

What is a rendering provider?
We always check to make sure this is accurate when walking out a procedure or adjustment in the patient's account so that our providers are paid correctly.

What is the 4 day Report?
This a report you complete daily to prepare your front desk and clinical team for upcoming appointments.

What is a reporting or .1 code?
We walk these types of codes when a doctor is getting credit for a procedure that is typically walked out under a hygienist or assistant.

What is a preauthorization or pre treatment estimate?
We send this to insurance companies to get a quote of how much insurance would cover on a certain procedure(s) before services are rendered.

What is leaving the patient a voicemail with a time frame to confirm?
You can do this when a patient has an appointment tomorrow but hasn't confirmed yet.

What is dropping the old insurance plan in the family module of OD?
If an existing patient comes in with new insurance, you do this with the previous insurance plan in open dental in order to save the info for previous claims.

If you have a last minute hole in your schedule and need to fill quickly, you can do this to fill those holes.
